Executive Assistant to Directors

Our client's mission is to play a leading role in transforming Ireland into a society based on sustainable energy structures, technologies and practices.

The role of the Executive Assistant to the Directors will be to support the successful operation of the Executive Leadership Team (ELT). This will involve providing a comprehensive range of support services to the Directors and the Management Team. This is an 18 month contract

Key Responsibilities:

  • Management of complex calendars and scheduling requirements
  • Working closely with and providing administrative support to the Executive Assistant from the Office of the CEO
  • Liaising with a wide range of internal and external contacts, acting as a key contact point for the Directors
  • Supporting the work of the Directors and Senior Management Team as required
  • Managing communications on behalf of the Directors with various external organisations, members and colleagues
  • Developing and maintaining a professional and dynamic overall support function for the Executive leadership team
  • Assisting the Executive Leadership team with policy and programme documentation
  • Conducting research and preparing briefing materials, relating to both academic and industry
  • Collating information, preparing reports, co-ordinating and updating projects / strategic documents / action plans etc. on an ongoing basis
  • Prioritising and delivering on key projects and activities in a timely manner
  • Managing secretariat responsibilities on behalf of the Directors, including o preparation of agendas and meeting papers
  • Coordinating interdepartmental meetings and actions
  • Collating information for circulation to specific Committees
  • Attending and minuting meetings
  • Following up on outcomes
  • Maintaining formal and accurate records of relevant documentation
  • Assistance with daily operations within the office with regard to facilities management and Health & Safety requirements

Experience/Requirements:

  • A Degree, Post-grad and/or equivalent qualification in a relevant discipline (any background)
  • Minimum four to five years’ experience working in an Executive Assistant role at Director level
  • A passion for sustainability
  • Successful track record and expertise in project management of multi-disciplinary projects
  • Experience working in a multi-disciplinary team, and managing projects involving a diverse range of internal and external stakeholders.
  • Effective communications and report writing with exceptional attention to detail
  • Advanced knowledge of IT and relevant applications used for administrative support (Microsoft 365, particularly MS Teams, Excel, Outlook, PowerPoint, SharePoint)
  • Capable of operating on their own initiative

Remuneration Package

€40,000 - €45,000
