Executive Assistant to Managing Director - Contract

Our client based in North Dublin provide a wide range of facilities management (FM) services across Ireland, Europe and the UK.

About the Position

This role in an Executive Assistant to Managing Director for a 9-12 month contract. The Executive Assistant to the MD of the company will be required to ensure that the Managing Director always receives the highest standard of care and personal support in particular in the critical areas of time/diary management, interaction with internal and external customers. Presenting a professional image of the Managing Directors office to all stakeholders, nationally and internationally; notably employees, customer, suppliers and the Board

Key Responsibilities:

  • Extensive scheduling and diary management and email Inbox
  • Manage and own the MD’s calendar proactive as well as his email Inbox
  • Assist the Engineering Director with his calendar
  • Liaising with and supporting Senior Leadership Team (SLT)
  • Organising meetings, preparing meeting agenda, booking meeting venue and hospitality
  • Keeping minutes of all meetings and liaising with SLT to ensure all follow up actions are closed on time
  • Preparation of Board Reports and presentations
  • Collecting Board Reports from the Senior Management Team and create a master
  • Any other PowerPoint presentation needed from the MD
  • Communications, Quarterly Newsletter, e-newsletter, Client Newsletter
  • Co-ordinating and drafting all communications for the MD and Team
  • Making travel and accommodation arrangements and collation of expenses
  • Including Itinerary as well as arranging meetings / dinners if required
  • Co-ordinating events, functions, international visits and dinners
  • Group CEO visit of group events in Dublin
  • Miscellaneous tasks to support MD and/or SLT as required
  • Company Claim management
  • Administration of the company fleet
  • General office duties to support the day to day running of the office in Swords
  • Ordering Stationary

Experience/Requirements:

  • 5 years' experience in Executive Assistant to Managing Director role
  • PC literate – Strong IT skills, full MS Office suite
  • High standards of ethics and confidentiality to handle sensitive information
  • A positive attitude, sense of humour, and professional demeanour
  • Building effective relationships with people in different locations and cultures
  • Sensitivity to the ‘mood’ of the organisation to assist the effectiveness of the interaction of the Managing Director with the staff
  • Exceptional organisational skills, combined with ability to prioritise competing demands, maintain high quality standards and meet deadlines on multiple projects/tasks.
  • Extremely detailed oriented
  • Excellent interpersonal, written and oral communication skills at all levels
  • Ability to exercise good judgement, show initiative and be proactive
  • Ability to work independently, use initiative, and make decisions quickly in confidential, organized, and detailed manner.
  • Experience of working within a fast-paced office environment
  • Proven ability to effectively prioritize work flow
  • Dependable and flexible, able to work independently as well as part of a team
  • A basic understanding of good health & safety practices

Remuneration Package:

€40,000 - €50,000
