About the Company
My client is one of the largest financial services groups in Japan.
They provide fund administration services to a wide variety of investment products covering all alternative and regulated products. Their service covers all the constituent parts required to independently produce a fund’s dealing or indicative net asset value (NAV) on a monthly, weekly or daily basis.
The SHS team maintain the register of shareholders, and deal with Investor and client queries and requests. The settlement of shareholder deals and instructing the transfer of the relevant monies to both the fund and the shareholders, including payment of dividend distributions, distributing contract notes and statements to investors, distributing fund documentation when required – such as prospectus amendments and financial statements. The team advise the Fund Manager of pending deals and keep the NAV Team informed about and subscriptions and redemptions for each dealing point.
About the Position
The function of this role is to assist in managing the day to day operations and deliveries of the team, to provide support to the Assistant Vice President and the team. This includes the day-to-day operational functions, staff management and workflows, assistance with ongoing and future development of the team and the processes. This will be achieved by controlling and monitoring the work done by the team, implementing adequate procedures and checklists, assistance with IT and system development, providing adequate training where required and assisting in the resolution of complex or sensitive investor and client queries.
•Responsible for transaction processing of Subscriptions, Redemptions, Switches and Transfers, cash processing from receipt of order to completion of transaction in accordance with internal and external deadlines, SLA’s and with the Funds prospectus
•Review and authorise payment instructions
•To support the delivery of the team's activities through planning, scheduling and co-ordinating daily workflow activity
•Effectively manage and coordinate complex client and investor queries
•Have a good understanding of the Anti-Money laundering verification function •Calculation and processing of period end Performance Equalisation and the anti-dilution dealing levies
•Preparation and Review of Client Reporting
•Preparation and Review of Investor Reporting
•Carry out regular spot checks on work verified within the team including dealing and registration amendments and ensure all checklists are completed
•Striving towards continuous improvement through regular reviews of the team’s processes & checklists ensuring that the Fund specific procedures are current and in line with the fund prospectus and company policies
•Ensure that clean desk policy is adhered to and archiving is done on a weekly basis
•To be actively involved in projects within the SHS Department
Essential Key Requirements
•At least 5 years fund industry knowledge, including knowledge of hedge funds •Previous experience within an SHS department is essential
•Good understanding of the effect that SHS activity has upon clients, investors and other departments
•Ability to provide coaching, mentoring, training and support to junior members of the team
•Understanding of AML/KYC/Regulatory requirements
•Previous experience with performance fees
