Executive Assistant to CEO
About the Position
Our client have setup a brand new company to manage their entire multi-billion-pound global sourcing operation based in Dublin city centre. They are recruiting for an Executive Assistant to their CEO to assist them in achieving their goals. This will be a hybrid position supporting a CEO who is innovative with high energy and will involve project and strategic work as well as the traditional EA tasks. This will be a fast paced role and will require the successful candidate to have at least five years EA experience in a large complex matrix organisation
Key Responsibilities
Managing the diary of CEO. Ensuring that current organisational priorities are understood to ensure diaries are aligned and prioritised against the business needs.
Answering, dealing and filtering enquiries confidently and with discretion.
Proactive in taking responsibility for closed loop control on all personal actions.
Arranging events, meetings and all-hands calls, ensuring all the logistics are in place and the events run smoothly
International Travel coordination and management based around diary schedules
Manage all aspects of administration such as: processing of expense claims, room bookings covering both internal and external meetings, processing annual leave
The first point of contact for all office support/facilities for the office e.g., stationery orders, liaising with IT for equipment for employees, liaising with the Group Facilities for any maintenance work etc.
Experience/Requirements
You will have a minimum of five years previous Executive Assistant experience in a large complex matrix organisation
You’ll have highly developed interpersonal skills and demonstrate a passion for delivering excellence and seeking continuous improvement
Excellence organisational skills and proactive in problem-solving
You’ll be able to work independently in a multi-tasking environment impacted by changing priorities
You’ll be able to work on your own initiative and take responsibility for making decisions
The ability to maintain a professional approach at all times and demonstrate a high degree of discretion & confidentiality.
You’ll have a flexible approach to work and be able to build relationships at all levels
Comfortable with ambiguity
Some experience in office/facilities support is preferable
You’ll have advanced working knowledge of Microsoft suite of applications.
Remuneration Package
€45,000 - €55,000 plus excellent benefits package
