This is a 6-9 month contract and would be based full time onsite in their office in Dublin 2.
 

About the Position

Under the supervision of the Office Manager & Senior Executive Assistant, this individual will manage Castlelake’s Dublin office front of house consistent with the Castlelake brand and values and assist with administrative tasks for the Dublin team.

Key Responsibilities

  • Proactively manage all front of house duties including;
  • Meeting and greeting visitors and offering beverages/refreshments.
  • Managing the Dublin meeting room calendars.
  • Setting up presentations, video conferences and dial-ins in meeting rooms.
  • Organising catering requirements for meetings and office events
  • Ensuring the office kitchen, stationary cupboard and bathrooms are kept tidy and well stocked.
  • Ordering other ad hoc office supplies as required.
  • Management of coffee machine.
  • Ordering couriers, collecting and sending post.
  • Assigning and revoking building access passes for staff and visitors.
  • Assist with the on-boarding and off-boarding process.
  • Assisting the Office Manager & Senior Executive Assistant and the wider Dublin team with administrative tasks as requested (e.g, expense reporting in Concur, travel booking/co-ordination, scheduling meetings)
  • Ad hoc tasks and projects as required.

Experience/Requirements

  • At least 2-3 years’ experience working as a team in a corporate reception / administration role.
  • Experience working in a fast-paced environment and able to prioritise a busy work schedule.
  • Team player and adaptable; willing to perform tasks necessary to achieve common goals.
  • Strong interpersonal skills with the ability to communicate, both oral and written, across all levels in an organisation.
  • Proactive nature paired with great initiative; dependable.
  • Welcoming and professional demeanor with a positive disposition.
  • Ability to be discreet and confidential when required.
  • Strong organizational skills with attention to detail, problem solving and ability to multi-task.
  • Proficient in Microsoft Office applications
  • Experience with the Concur application would be advantageous but not essential.
