Executive Administrative Assistant

About the Company

Our client is a global pharmaceutical company with over 30 manufacturing sites across the world. Their offices are located in South Dublin, a home to over 130 colleagues with great public transport and parking available. This state of art headquarters would be a great location for commuting to on a hybrid basis with 2 - 3 days in the office, remaining working from home.

About the Position

This is a very exciting opportunity to really be a part of the business. Working closely with the Executive Assistant to the President, the leadership team based in Dublin and globally, you will get to develop an understanding of strategic goals, really get an insight into how the business works and provide relevant support to meet their individual and collective objectives.

You will be part of team that is passionate about what they do, dynamic and driven to achieve their goals while knowing the best results are achieved by their colleagues who achieve more as a team than can be accomplished individually. 

Key Responsibilities

  • Provide administrative and communication support to the Global Leadership team in Dublin.
  • Serve as the primary point of contact for other departments, external partners, and customers.
  • Manage expense reporting, schedule meetings and maintain calendars for Global Leadership team members.
  • Coordinate travel and logistics, assist with event planning and coordination including logistics, participants, agendas, and follow-up actions..
  • Collaborate with other admin teams to update and improve processes and procedures.
  • Assist with creating presentation materials for executive leadership and board meetings.
  • Provide coverage during holidays.
  • Help during peak workloads.

Experience/Requirements

  • Relevant Business qualification 
  • Minimum 5 years’ experience working in Executive administration in a global company
  • Fully conversant with MS Office (Word, PowerPoint, Excel), and communication devices
  • Excellent interpersonal and communication skills
  • Proactive, independent, reliable, and demonstrating sound judgment and discretion in order to deal with confidential information 
  • Fluent in English and comfortable in communicating with top management and external partners and stakeholders
  • Adaptability to unexpected situations, problem solver
