Executive Assistant to Leadership Team
We're looking for a highly organised and proactive Executive Assistant to provide comprehensive administrative and operational support to three senior members of our clients' Leadership Team, all based in their Dublin office.
This is a permanent, hybrid role (with flexibility required) where your focus will be on ensuring their executives are supported in every aspect of their professional day.
Who would thrive in this role...
This role is tailor-made for an Executive Assistant who genuinely enjoys and excels at providing the highest level of administrative and executive support. You'll be ensuring their leadership team's day-to-day operations run smoothly by managing diaries and schedules, coordinating complex logistics and handling every detail to ensure their executives can focus solely on their core responsibilities. If you pride yourself on delivering top-tier support and genuinely enjoy anticipating needs, this is the perfect opportunity for you.
Key Responsibilities:
As their Executive Assistant, you'll be the ultimate support, ensuring their senior leaders operate with maximum efficiency. Your main responsibilities will include:
Execute a wide range of administrative tasks with great attention to detail. (comprehensive schedule and calendar management, expense report processing (Concur), preparation of high-quality presentations and company town hall materials, etc.)
Be the primary point of contact for administrative requests from the Leadership Team, managing a shared corporate support email address.
Coordinate the preparation and distribution of materials for weekly leadership meetings.
End-to-end travel and event planning.
Liaise with Company Secretary to facilitate efficient scheduling and logistics for board meetings.
Manage travel and expense reporting for Board Directors as needed.
Confidentiality is key, as it is in the EA profession. You'll be handling highly confidential information with discretion and professionalism.
Experience/Requirements
We're looking for a resourceful and resilient professional who excels in providing comprehensive Executive support with:
At least 5 years of proven experience in an Executive Assistant role, supporting multiple executives.
Experience working within a corporate or professional services environment.
Exceptional organisational skills with the ability to manage multiple tasks and prioritise effectively in a fast-paced setting.
Strong proficiency in using expense management systems, Concur would be ideal, but not essential.
Excellent communication and interpersonal skills, with the ability to interact effectively and respectfully with senior executives and all stakeholders.
Ability to work both independently and collaboratively as part of a team.
Remuneration Package
Salary range based on experience, in the range of €60,000-€75,000.
25 days Annual Leave and Full benefits package including healthcare, pension, bonus and more.
